This user guide it to walk a field worker through the process to remediate data lines and submit data to the DRM-SM team for review. In this guide we will walk you through how:

By now you have been sent a username and password and you have successfully logged into https://canada.camcodedata.com/. If you haven't completed this step please contact Alan Cunningham at [email protected] so he can create an account for you.
If you have successfully logged into the system then please go to https://offline.canada.camcodedata.com/ and use the same user name and password that you used to create your account. The user must use google chrome for this program otherwise it will not work.
- How to install the system on your desktop
The next step is to install this program on your desktop, this is done by clicking on the 3 dots in the top right hand corner of the browser. There is a option to click Open in CCG Install/Destroy Tool and this will save a link to your desktop. You must use the program in this version and not in the browser. This is because the scanner will not work as desired in the browser and will attempt to open your bookmarks window post each scan.
- How to find your project
Once logged into the system, the user is presented with a list of projects and there names, these projects are linked to the area of operations. If your main area of operation is Edmonton then all of your jobs will be in the Edmonton Project. Click on the View Jobs button to find your list of jobs and this will take you to your project.
- How to find your SLOC/job
The user will now pick the job type, for this project the user is always picking Construct 1 jobs.
The user will then search for their job using the SLOC code, Sloc formats are a combination of the plant code and the sloc number. An example is 0002A50N - Connaught. Once you have found your job then click on the get job button. Once you have clicked on this button it will take you to this job and you can start the remediation process. This button also allows you to store the job locally on your computer so you can work without wifi. It is only possible to work at one location offline at a time so if you are scheduled to go to 2 SLOCs then you will have to come back online with wifi or a hotspot to get the data to go to SLOC 2.
- How to calculate how many tags you will need for the SLOC
Tags for all jobs are made ahead of time by either Cleveland or the local Validation and Verification Technician. It is very important to plan ahead for how many tags you will need to complete the SLOC. Each SLOC contains a proof summary inside the job. This will show you how many tags you will need of each type of tag to complete the job.
Once you open the summary file you will be presented with the quantity by proof number, you should request this many tags plus some extras in case you find extra assets, lose tags or a tag gets damaged.
- How to find a data line to remediate
Now that you have your job and your tags, you can head to the SLOC to remediate the equipment. In the job you can filter by asset attributes, these are:
- NIIN
- NSN
- MPN
- Cage
- Serial
Once you have filtered you will have the option to select a data line to remediate and there will be a button called select asset. Click this button and you will be presented with a modal window.
Searching in any of the boxes will also allow a partial search so if you are presented with long serial numbers with constant text at the beginning it is possible to search for the last 4-6 characters to find the asset. If you are looking for an asset that doesn't have a serial in DRMIS you will not be able to search for it by serial. It is important that if you search by serial and you don't find an asset that the next step is to search by one of the following:
- MMR
- NSN
- MPN
- How to review the marking specification
Once you have determined which line you are remediating and you have click the SELECT ASSET button, you will be presented with a new modal window. This is very important to review all aspects of before installing a tag. The first to review is the 2 images at the bottom.
- Recon Image
- Tagging Image
1. Recon Image
The recon image will show you which serial is important to review against. Some assets will have many data plates, local serials or etched numbers. The recon image will show you which serial the ULMC team have determined you need to review.
2. Tagging Image
The tagging image will show you where to affix the tag to the asset. This is crucial as we always mark in a consistent manner which is agreed between the ULMC team and the DND. This is because we want to mark in a consistent manner as it makes scanning tags more efficient by the DND users, their maybe environmental factors or some parts may be removable. If there is an issue on an item with the tagging location please contact the ULMC team with a photo and comments for them to review.
- How to select the correct tag to mark the asset
The final image is the proof image, this will show you the type of tag to use on the item. There are many different tag designs and the system will not allow you to affix and record the wrong proof on the wrong asset. This image will show you which tag, there is also 2 numbers for tag designs on the previous screen. These numbers relate to tag part numbers made in Cleveland or made on your local laser system by the Verification and Validation Technician.
- How to verify the serial and deal with data discrepancies
Once you have reviewed the recon image and the tagging image and the proof, it is now time to confirm the data on the equipment matches what the Data Remediation Team have provided. The modal window that you open will show you the expected Cage/MPN option that the DND system expects the equipment to have on it. If this is correct then the next job is to confirm the serial in the confirm serial data entry box. The original serial will disappear, this is by design so that the user doesn't copy from the screen and enters it from the asset.
If the numbers don't match then the user should enter the serial again in case they had a typo and if it doesn't match again they should click the incorrect serial button. They will now have to enter the serial twice, this is to ensure good data entry and the serial matching.
If the cage/mpn doesn't match what is visible on the asset the user can click the Incorrect MPN/Cage/NIIN button, this will allow the user to change the cage/part option. In some cases there are multiple cage/part options and if after clicking you are presented with multiple options then choose the one that matches the asset presented to you. If the cage/mpn doesn't match any of the options presented in the system, then please quarantine the asset and contact the ULMC team to review. They may request photos for review and they will advise on how to proceed. It is important never to guess during this process and if in doubt discuss with your local team or reach out to someone in the core DRM-SM team.
- How to add a new asset
From time to time you will find new assets that are not in the file from the Data Remediation Team, it is important that before you add a new asset that you review the asset thoroughly in the system. You could have a MMR with no serial, you could have a serial that is incorrect in the lookup table. I would ask the base as there are legitimate reasons to find a new asset. These could be things like a new asset sent to the base in between the data file being produced and you arriving at the base. If you have exhausted all avenues then click the ADD NEW ASSET button at the top of the screen.
Please Verify with the DRT team prior to adding a new asset
Once you have clicked the button you will be presented with a new modal window to create a new record. Here you can select any approved MMR from the list and then confirm the serial data and associate the tag of the OEM mark to the equipment (see next step). These are unplanned assets and you may not have tags for these as they require a different proof to what you had in your supplies so you will have to get some new supplies from the inventory at your base. If you are going to an outlying unit it may be important to have extra tags of common tag types as it is harder to get more tags in a timely manner.
If the Asset is NON-EMR tracked then you can proceed, if the asset is EMR tracked then please request the EMR from the DRT assigned to this project. If the DRT isn't available, if there is no internet or you are working outside normal hours then you can check the box EMR NOT PROVIDED
- How to associate the tag to the asset
Now that you have confirmed all the asset information is correct, then your last task is to associate a UID mark to the asset. This is done by having a tag made under the correct proof image. If you choose the incorrect tag on a different proof, then the system will present you with an error and not let you proceed any further. When you have the tag in your hand please follow the tagging image and mark the item in the correct location. Once the item is marked, please scan the label into the Associate Tag field. This will populate the field and also check that the tag is valid and for the correct proof. If it matches then the scanner will click the save button and the window will close and the line will go green and you can continue to the next asset as this asset is now remediated.
- How to associate an OEM mark to an asset
In your remediation process you are going to deal with assets that have an existing mark on them. These marks are put on by the OEM (Original Equipment Manufacturer) or a different project team. It is necessary that you associate this tag with the asset record and report it to the Data Remediation Team. The associate tag field is checking against a tag database made by the DRM-SM team, if it doesn't match then you will have a new button appear that is now clickable called OEM mark. Click this button when you want to associate an OEM mark to the data line.
OEM tags can only be associated to EMR records that exist in the location job.
- How to complete a GTIN line of data.
GTIN data will always be processed through the ADD NEW ASSET button, once you select the NIIN then you will be presented with a GTIN value. Please scan the GTIN tag in and then enter the quantity installed. If you need to complete more in a given day of the same GTIN then the system will add them together.
All GTIN lines can be viewed on the GTIN SUMMARY PAGE if there are any errors then you can adjust the value in the table
All tags whether made by the DRM-SM team or an OEM must start with [)> so if you receive the below error then please rescan the tag in case your scanner entered the data incorrectly, if the data is still incorrect then grab your verifier and confirm the tag is made correctly. If it isn't made correctly then please talk to the ULMC team about the process.
- How to sync data back to the DRM-SM team at the end of the day
At the end of your day it is important that you go back online at home or in your hotel as this will send all the data back to the DRM-SM core team. Once you login with WIFI then data will be taken by the system and reported to the DRT team weekly. If you go into the system the following day and we have not synced your data then this could be because you didn't go online and the data wasn't visible, don't worry we will collect the data the next day.
- How to get new features
Periodically, you will be told there are new features coming or there might be a bug that a user identifies and the DRM-SM team will look to fix it asap. If you find a bug please contact the DRM-SM core team asap for a resolution. In order to get a new feature, you must follow these steps and you must be connected to the internet for these steps to work.
- Go to https://offline.canada.camcodedata.com/
- Always logout of the system
- Right click anywhere on the screen and click the option called inspect
- Right click on the refresh button on the top of the page
- click on Empty Cache and Hard Reload
- This will refresh the page and bring any new feature to your local system
If you have any system problems then this should be the first thing you do before calling the DRM-SM team, it is often the quickest way to fix any problem that you are having. It will also be the first they the DRM-SM team will recommend that you do. It is similar to turning on and off a computer and it just resets the program.
- Troubleshooting Issues
Save button doesn't work
The save button will only appear if all the data fields are populated, if any of the data fields are empty they save button will remain greyed out. This could be because the user has not populated one of the fields but it could also be because a SLOC or location has not be created in the offline program. If this occurs the Location field will not be populated, this is resolved by a quick call and the location will be added to the tool. The screen will look like this and you will see the text Please select a location, this isn't correct and needs to be resolved to continue.
User can't login at a base
The system is designed to work offline however if you logout while online and go to a location you will not be able to access the system. If you logout while offline and at the base you will not be able to log back in. This is because the log in function needs to validate your credentials when you log in. If you shut the window while logged in when you reopen in then it will open back into the job. If you are greeted with the below image then don't panic, all you have to do it set up a personal hotspot or go on WIFI and log back in and you can work fine again. If this issue persists please call Alan Cunningham about it.
Serial Data Errors
If a serial has a prefix of SN or SER, this is not something that you include when entering the data for that serial. if the data that comes to you for that serial already has that prefix then the user is to declare this an incorrect serial and confirm the new serial twice without the unnecessary prefix.
New assets appear in the SLOC
If there are additional assets found in a SLOC that did not form part of the data file for that SLOC, then the first thing to do is ask the local representative if the assets belong to this SLOC. Some SLOCs are adjacent so they may not form part of this SLOC and the DRT team will have to get a new IH08 for you to remediate in. This IH08 may also be loaded into the program so you can search for it in the SLOC table. If it is determined that the asset does form part of this SLOC, then engage the DRT team in the Teams chat for direction and then follow their lead. They may recommend ignoring the asset as they investigate, they may recommend to add as new or they may get a new IH08 for that SLOC so you can remediate it as part of that SLOC or they may tell you the SLOC it is part of for you to find that SLOC in the program.
Invalid Associate Tag
If you are trying to associate a tag to an asset and you are certain that it is the correct tag then there are potentially 2 issues.
1. This could be the database of tags isn't linked on your laptop. This occurs from time to time due to the size of the database. Logout of the program and clear cache and log back in again. Follow these steps.
- Go to https://offline.canada.camcodedata.com/
- Always logout of the system
- Right click anywhere on the screen and click the option called inspect
- Right click on the refresh button on the top of the page
- click on Empty Cache and Hard Reload
- This will refresh the page and bring any new feature to your local system
2. If step 1 doesn't work please use the CTU channel and communicate the issue in, please have done step 1 first as this will be the first recommendation to you. The other option will be that the tag data isn't loaded or there is a bug and please wait for direction.
- GTIN Troubleshooting
- GTIN proofs appear in the Proof Summary page
- This is an error on one of the Specs as GTIN should never appear in the file, so ULMC/CTU team need to figure out the affected spec.
- If you can figure out the NIIN in the file, then highlight this to the ULMC Team
- Select Asset Modal Window GTIN
- You will figure this out when you open a modal window, and the proof says DND-NOGS as the proof. This NIIN should be highlighted to the ULMC team
- EMR Tracked GTIN
- There shouldn’t be any GTIN specs that require an EMR so if this happens highlight the NIIN to the ULMC team
- How to communicate an issue back to the DRM-SM team
